A procurement workflow for agricultural repair dealers

Dealers need to connect a customer’s reported issue with an identifiable service part. The inquiry record should preserve that chain through quotation and delivery.

The purchasing decision

Collect aircraft and subsystem identity, requested part, quantity and relevant service documents. Keep diagnostic conclusions with qualified service staff. Ask suppliers to disclose substitutions and document receiving checks before an item reaches the repair job.

Keep these records

  1. Customer equipment identity.
  2. Requested part and allowed alternatives.
  3. Receiving-to-job traceability.

Give each record an owner and a revision or date. If a supplier proposes a different part or test condition, record it as an exception for review before treating the quotation as equivalent.

Turn the review into a sourcing request

Start with the linked component checklist, add the actual platform and part identity, and state quantity, destination and timing. List unresolved requirements explicitly so the first discussion can focus on those gaps.
